The Ohio State University, as a public institution, must comply with laws governing public records, including electronic records. Effective compliance, which can be particularly challenging with electronic records, can only be achieved through proper records management. This 2-hour instructor-led workshop will offer participants practical tips and guidance for managing email and electronic records, including steps that can be taken toward automating the retention and disposition process now and in the future. This training covers the same electronic records concepts as Paper & Bytes, as well as expands on them. It does NOT cover the retention forms and processes that Paper & Bytes covers.
By the end of this session you will be able to:
- Understand when an email, texts and chats are records
- Apply retention and archive tags in Outlook to automate deletion and maximize storage space
- Understand how records are defined in databases or information systems
- Applying retention and disposition concepts to records within information systems
- Set up basic email and electronic records filing schemes in shared drives, Teams and SharePoint
- Create standard file naming conventions
- Know where to find more information or direct questions
