Paper and Bytes: Policies, Best Practices, and Resources for Managing OSU Records

The Ohio State University, as a public institution, must comply with laws governing public records. Effective compliance can only be achieved through proper records management. This 2-hour instructor-led workshop will help participants become more knowledgeable about policies, legal requirements and best practices concerning the retention, management and disposition of records in their care. Participants will also learn practical tips and techniques for managing email and organizing electronic records.

By the end of this session you will be able to:

  • Determine if a document is a “record”
  • Locate retention schedules and use them to determine how long to keep records
  • Legally dispose of records that have met retention
  • Understand when an email, texts and chats are records
  • Understand how records are defined in databases or information systems
  • Set up basic email and electronic records filing schemes and naming conventions
  • Apply retention and archive tags in Outlook
  • Know where to find more information or direct questions

Bits and Bytes: Best Practices and Practical Tips for Managing Electronic Records and Email at OSU

The Ohio State University, as a public institution, must comply with laws governing public records, including electronic records.  Effective compliance, which can be particularly challenging with electronic records, can only be achieved through proper records management.  This 2-hour instructor-led workshop will offer participants practical tips and guidance for managing email and electronic records, including steps that can be taken toward automating the retention and disposition process now and in the future. This training covers the same electronic records concepts as Paper & Bytes, as well as expands on them. It does NOT cover the retention forms and processes that Paper & Bytes covers.

By the end of this session you will be able to:

  • Understand when an email, texts and chats are records
  • Apply retention and archive tags in Outlook to automate deletion and maximize storage space
  • Understand how records are defined in databases or information systems
  • Applying retention and disposition concepts to records within information systems              
  • Set up basic email and electronic records filing schemes in shared drives, Teams and SharePoint
  • Create standard file naming conventions
  • Know where to find more information or direct questions
